Intake Specialist

DESCRIPTION
Intake Specialists are the initial telephone point of contact for all new clients of Legal Services. The intake specialist meets with new or prospective clients, asks a series of questions for the purpose of compiling data, and then uses this data to determine the best next course of action for that client. This is a professional position under the supervision of the Intake/Advice Line Managing Attorney.
Essential Functions
1. Efficiently and accurately complete intake questionnaires, open file and transfer to office.
2. Determine client eligibility in accordance with LSC regulations and other funding criteria.
3. Initially assess applicant’s legal problems and check for conflicts of interest and current files.
4. Refer ineligible applicants to other sources of assistance and give appropriate information as instructed.
5. Provide fax number to applicants to fax documents.
6. Transfer eligible applicant’s cases to the appropriate Managing Attorney or other designee or transfer applicant are who are eligible for services through the Advice Line directly to the hotline.
7. If the case needs to be referred to another legal services provider, e-mail to Intake/Advice Line Managing Attorney.
8. Processes paperwork for new clients efficiently and in accordance with protocols.
9. Obtains pertinent information from new clients by asking them to complete surveys or interviews courteously and professionally.
10. Answers and screens inquiry call and emails from prospective clients.
11. Collects data to help with the admission process if working in a health or mental care facility.
12. Ensures that all admission forms are properly signed and filed.
13. Communicates with other team members constructively in order to reduce conflict and enhance the resolution of issues.14. Respects client or patient dignity and confidentiality.
15. Assist with training new screeners as requested.
16. Perform other duties as assigned.Knowledge/Skills/Abilities
Minimum Qualifications:
1. High School diploma or equivalent.
2. Typing skills of 50 WPM and the ability to enter data into computer.
3. Attention to detail.
4. Ability to forge positive relationships with prospects, colleagues and the community.
5. Good organizational, interpersonal and communication skills.
6. Ability to work collaboratively and independently.
7. Must be able to effectively and efficiently maximize existing resources.
8. Working knowledge of Microsoft Suite (Word, Excel, PowerPoint and Outlook) and CMS.
9. Must be able to effectively work in high pressure situations which involve deadlines.
10. Must be able to maintain professional demeanor while working with the public.
11. Must be able to maintain positive working relationships while under pressure.
Desirable Qualifications:
1. Knowledge of basic legal terminology and simple business mathematics.
2. Familiarity with the judicial system and a wide range of social services.
3. Ability to interview to determine essential facts with respect to eligibility and initial case assignment.
4. Spanish and/or Haitian Creole preferred, but not required.
5. Prior experience in a call center, social service agency or law firm preferred.
Working conditions
This position operates in a professional office environment.
Physical requirements
1. This is a largely sedentary role, however, some lifting of office supplies up to 20 pounds may be required.
